Job Description
The position of Accounting and Business Administrator maintains a direct reporting hierarchy to the Chief Operating Officer and assumes the responsibility of offering administrative support and acting as the internal point of contact for all accounting-related activities. These tasks encompass accounts payable processing, journal entry oversight, analytical reporting, and analysis and entry of reimbursement invoicing. This role holds considerable importance in guaranteeing the Foundation's financial compliance and effectively managing administrative operations within the office of the Chief Operating Officer. This, in turn, plays a pivotal role in shaping the Foundation's ability to provide precise and timely financial reporting, enhancing responsiveness to both internal and external stakeholders.

POSITION RESPONSIBILITIES

We are seeking an Accounting and Business Administrator with exemplary analytical capabilities and exceptional organizational acumen. The Accounting and Business Administrator will be responsible for meticulous attention to financial details, adept problem-solving skills, support functions, and the ability to thrive under demanding circumstances while meeting stringent deadlines.

Key to this role is the capacity for critical thinking, superb organization, proficiency and precision in applying accounting and financial reporting principles and practices. Top-tier candidates will possess excellent report-writing skills utilizing the Financial Edge (FE) platform with the ability to operate independently as well as collaboratively within a team.

Accounting Administrator

  • Analyze financial data and prepare comprehensive balance sheets.
  • Collaborate with management and staff to construct budgets.
  • Ensure adherence to organizational protocols, procedures, and federal and state regulations.
  • Resolve inquiries and discrepancies related to accounts payable and receivable.
  • Accurately conduct daily reconciliations of cash, check, and credit card transactions while maintaining a meticulous record of invoices.
  • Uphold compliance with Generally Accepted Accounting Principles (GAAP) for financial statements.
  • Provide support in financial and tax audits, as well as in general ledger preparation.
  • Prepare income tax returns and fulfill corporate reporting requirements.
  • Develop monthly financial statements encompassing cash flow, profit and loss statements, and balance sheets.
  • Execute end-of-month closing procedures.
  • External stakeholder reporting.
  • Other duties as assigned.

Business Administrator

  • Entering data, maintaining databases, and keeping records.
  • Liaising with internal departments, answering calls, and making travel arrangements.
  • Managing internal and external correspondence on behalf of the Chief Operating Officer.
  • Scheduling appointments, maintaining an events calendar, and sending reminders.
  • Copying, scanning, and transmitting documents, as well as taking notes.
  • Preparing facilities for scheduled events and arranging refreshments, if required.
  • Ordering office supplies and replacements, as well as managing mail and courier services.
  • Observing best business practices and etiquette.

POSITION REQUIREMENTS

  • Bachelor's degree in accounting or related field (essential).
  • At least one year of prior accounting work experience (essential).
  • Profound understanding of accounting and financial reporting principles and practices.
  • Possess an analytical mindset with strong conceptual and problem-solving skills.
  • Exceptional attention to detail coupled with superb organizational skills.
  • Ability to perform effectively under pressure and meet stringent deadlines.
  • Display critical thinking skills along with a high level of math proficiency.
  • Demonstrated capacity to work independently and as an integral part of a team.
  • Excellent report writing, communication, and IT skills.
  • Advanced proficiency in Microsoft Office and account software packages.
